Job Description

The Clinic Coordinator serves as the primary point of contact and operational hub for a state-of-the-art, medical-led aesthetic clinic in Co. Kerry. The clinic hosts a strong array of popular treatments (medical and non-medical) as well as a full deck of high-end skin care brands in house. This role is central to delivering an exceptional client experience and ensuring seamless daily operations for both clients and the clinical team. As the face of the clinic, you will welcome clients, manage communications across multiple channels, coordinate the appointment schedule, and support administrative functions that keep the clinic running smoothly. This is a part-time position offering flexible days that accommodate your personal schedule while providing meaningful scope for professional growth within an expanding practice.


Key Responsibilities:

  • Welcome clients and manage the front of house, delivering a warm, professional experience at every visit
  • Manage the clinic diary: book, confirm, and coordinate appointments and treatment schedules
  • Handle phone, email, and social media enquiries, converting enquiries into bookings
  • Process payments, deposits, and treatment packages accurately
  • Support the medical team with client records, consent forms, and clinic administration
  • Follow up with clients on aftercare, reviews, and repeat bookings
  • Maintain the presentation of the reception and clinic areas to a premium standard
  • Assist with stock, suppliers, and general day-to-day clinic operations


Candidate Profile

We are looking for candidates who combine professional polish with genuine warmth, and who thrive in a client-facing role within a premium healthcare environment. You will have proven experience in an aesthetic clinic or equivalent front-of-house setting, demonstrating strong organisational abilities and a natural aptitude for managing complex schedules and client relationships. Above all, you should be someone who takes pride in discretion, attention to detail, and maintaining the highest standards of professionalism.


Experience & Expertise Required:

  • Previous experience in an aesthetic clinic, or strong front-of-house experience in a premium environment (essential)
  • Comfortable with booking systems, payments, and general administration
  • Proven ability to manage a busy diary and coordinate multiple priorities
  • A genuine interest in the aesthetics and skincare industry
